Privacy Policy

This policy explains what information C3CPA collects through this website, why we collect it, how long we keep it, and how you can ask us to change or remove it.

Who we are

C3CPA is a certified public accounting firm based in Rio Rancho, New Mexico, licensed in New Mexico and California. This policy covers the c3cpa.com website. Information you share with us inside a signed engagement is additionally governed by that engagement letter and by the confidentiality rules that apply to CPAs.

Information the contact form collects

Our contact form is the only place on this site where we ask you for personal information. When you submit it, we collect exactly the fields you fill in:

  • First and last name — required, so we know who to reply to.
  • Email address — required, used to respond to your inquiry.
  • Phone number — optional, used only if you prefer a call or we cannot reach you by email.
  • Service of interest — optional, helps us route your inquiry to the right person.
  • Your message — required, the details you choose to share about what you need.
  • Submission date and time — recorded automatically so we can track response times.

The form also contains a hidden anti-spam field that real visitors never see. If it is filled in, the submission is discarded and nothing is stored.

Please do not send Social Security numbers, bank or account numbers, tax documents, or other sensitive records through the contact form. Once we connect, we will provide a secure method for exchanging documents.

How we use and store contact form submissions

Submissions are transmitted over an encrypted connection and stored in our private hosted database, where they are readable only by C3CPA personnel and the systems acting on our behalf. A notification is also delivered to our firm inbox so we can follow up, normally within one business day.

We use this information solely to respond to your inquiry, evaluate a potential engagement, and keep a record of the request for follow-up. We do not use it for marketing lists unless you separately ask to be added, and we never sell, rent, or trade it.

Inquiries that do not become engagements are retained for up to 24 months and then deleted. If we begin an engagement, your information moves into our client records and is retained under the record-retention terms of that engagement and applicable professional and legal requirements.

Service providers

We rely on a small number of vendors to operate the site: a website hosting provider, a hosted database provider that stores contact form submissions, and an email delivery provider that sends the notification to our inbox. These vendors process the data only to provide their service to us and are not permitted to use it for their own purposes.

We may also disclose information where required by law, subpoena, or professional standards, or to protect our rights.

Cookies and analytics

This site does not use advertising cookies or third-party tracking pixels, and it does not build advertising profiles about you. Standard server logs may record technical details such as IP address, browser type, and pages requested for security and reliability purposes. If we add website analytics in the future, we will update this policy first.

Security

We use encrypted connections, access controls, and restricted database permissions to protect the information you send us. No method of transmission or storage is perfectly secure, so we ask you to keep sensitive documents out of the contact form and use the secure channel we provide during an engagement.

Your choices and rights

You may ask us at any time to see the information we hold from your website inquiry, correct it, or delete it. Email info@c3cpa.com or call (505) 595-2788 and we will respond promptly. Note that information we are required to retain under tax, audit, or professional recordkeeping rules cannot always be deleted on request.

This site is not directed to children under 13, and we do not knowingly collect their information.

Changes to this policy

We may update this policy as our practices or the law change. The effective date at the top of this page shows the most recent revision. Material changes will be noted on this page.
